Don't log your training hours twice.

Observation, self-practice, practice teaching — one running log instead of a sheet of paper in your bag. Hours by category, what the certification is actually costing you, and a one-click export for your teacher. And when your first paying client shows up, it's already tracking their package too.

WHERE YOU ARE

Three things you're already tracking, and none of them has a system

Your hours

Hundreds of them, across three or four categories, over a year or more. Most programmes still hand you a paper log sheet or a blank spreadsheet, and most of it gets reconstructed from memory the week before it's due.

What it's costing you

Tuition is only part of it. Studio fees for observation, self-practice and practice teaching add up quietly over a year, and nobody is adding them up for you. Almost all of it is a deductible professional education expense — if you kept the record.

Your first clients

The friend who wants to keep going after your practice-teaching hours end. The person who buys five sessions and pays you on Venmo. One or two people isn't a business problem yet — it's a when did she start, how many leftproblem. That comes later, when you're already teaching and getting paid.

All three live in the same place already: your calendar.

THE PART NOBODY ADDS UP

What has this certification actually cost you?

FlowPrism logs the cost alongside the hours, because they come from the same sessions. By the time you finish, you have a dated record of every studio fee, workshop and piece of equipment — which is exactly what your accountant needs the first year you file as an instructor.

No log sheet gives you this number. Your school won't calculate it for you either.

FlowPrism is a record-keeping tool, not a tax advisor. Confirm deductibility with your accountant.

THE NUMBERS

How many hours does your programme actually require?

Every school counts differently. Here's what the major programmes publish, so you know what you're working toward.

Figures as of August 2026, taken from each programme's published requirements. Your school's own manual is what counts — check it. Spotted something out of date? Email support@getflowprism.com and I'll fix it.

HOW IT WORKS

Three steps, then it runs itself

01

Connect your calendar

FlowPrism reads the calendar you already keep and turns the sessions you teach into records you confirm. Read-only. It never writes to, changes, or deletes anything in your calendar.

02

Log the session once, in the category it belongs to

Observation, self-practice, practice teaching. Put the studio fee in while you're there and it counts toward what this certification has cost you. Already months in? You can backdate — open your calendar next to it and an evening gets you current.

03

Export whenever they ask

Your teacher needs numbers for a form, every fifty hours or every term. One click gives you a spreadsheet with the date, what it was, which category, and how long — ready to copy onto whatever your school hands you.

WHAT THIS ISN'T

This doesn't replace your programme's log sheet

FlowPrism gives you the numbers and the dated record behind them. It doesn't issue your certification, it doesn't talk to your school, and it can't sign anything. If your programme needs a specific form with your teacher's signature every 50 hours, you still fill in that form — you just fill it in from an export instead of from memory.

WHY I BUILT THIS

I'm a Pilates instructor. For years I tracked packages in my Notes app and copied my calendar into spreadsheets, which is why I built FlowPrism. If you're at the start of this, you get to skip the part where you rebuild a year from memory.

QUESTIONS

Questions from people still in training

I don't have any paying clients yet. Is this useful?

Yes — that's who this page is for. Right now FlowPrism is a training log and a running total of what your certification is costing you. The package and payment tracking is sitting there for when you need it, and you will, usually with someone who started as one of your practice-teaching clients.

How does it tell observation apart from practice teaching?

You pick a category when you log the session — observation, practice teaching and self-practice for certification hours, plus training, workshop, course and certification for continuing ed afterwards. Your hours total by category from there.

Will this replace my programme's official log sheet?

No. Your school's form and your teacher's signature are what count. FlowPrism makes filling that form take two minutes instead of an evening of reconstruction.

Which teacher training programmes does this work with?

All of them, because it doesn't know or care which one you're in. You set your own categories — BASI's 500 hours, Balanced Body's 520, a classical apprenticeship's 600, whatever your manual says.

I'm six months in and I never wrote anything down. Am I too late?

Probably not. You can log past sessions, and if they're in your calendar you have more of a record than you think. Most people find they're further along than they'd guessed.

Is it free while I'm in training?

Yes. The training log, your hours by category, what it's costing you, and the export are all on the free plan, along with up to 5 students. Pro ($9/month) adds business expenses, the write-off report and revenue analytics — the things that start mattering once you have steady income.
