Do my clients need to download anything?

No. FlowPrism is for you, not for them — there's no client app, no login to hand out, and no emails sent on your behalf. Your clients keep texting you to book and paying you the way they already do. Nothing about their experience changes, which is the point: you get the record-keeping without asking a single client to adopt a new tool.

How does FlowPrism handle no-shows and late cancels?

You decide, per session. When FlowPrism reads a session from your calendar you confirm it before it becomes a record, so a late cancel you're charging for gets counted against the client's package and one you're forgiving doesn't. There's no policy engine forcing a rule on you — your cancellation policy is yours, and confirming is one tap.

Can it handle clients who train at more than one gym?

Yes. FlowPrism tracks the location alongside the session, so if you train someone at two facilities — or split your week between a gym floor and a private studio — both show up under the same client with the location on each session. If the gyms pay you differently, revenue reporting separates them, which also makes the rent or floor-fee side of your taxes far easier to reconstruct.

Is FlowPrism a Trainerize alternative?

Only for part of the job. Trainerize and TrueCoach are coaching platforms — workout programming, exercise libraries, client check-ins, progress photos. FlowPrism does none of that. What it does is the business side those tools treat as secondary: prepaid session counts, credit balances, revenue, and a clean export at tax time, all read from your calendar. Plenty of trainers run both, and if you only need to know who's paid up and who's running low, FlowPrism alone is the cheaper answer.

What is FlowPrism?

FlowPrism is a record-keeping tool for independent instructors, coaches, and personal trainers — Pilates, yoga, dance, tennis, music, personal training, and other private teaching. It reads the teaching calendar you already keep and automatically tracks every student package, session, and credit balance, replacing the notes app or spreadsheet most instructors use.

How does the calendar import work?

Connect Google Calendar or Apple Calendar and FlowPrism syncs your events with one click — or upload an .ics export from any calendar app. FlowPrism parses your event titles — including package markers like [7/10] — matches students and studios, and you confirm everything before it becomes a record. No double entry, and you don't change how you schedule.

Does FlowPrism work with Google Calendar and Apple Calendar?

Yes, both. Connect Google Calendar (read-only access you can revoke anytime) or Apple Calendar (iCloud) — either paste your teaching calendar's public share link (no password at all) or use an app-specific password for private sync; both are read-only. Or upload an .ics export from any calendar app. FlowPrism never writes to, changes, or deletes anything in your calendar.

Is there an app to track how many sessions a client has left?

That's exactly what FlowPrism does. When a client buys a 10-session package, FlowPrism counts it down automatically as you teach — you don't tick anything off. Open a client and you see the number left, when they last trained, and what they've paid. You also get an alert when someone's package is running low, so you can ask for the renewal before the last session instead of after it. It works from the calendar you already keep, so there's nothing to update after a session.

Does FlowPrism work for personal trainers and coaches?

Yes. If you sell prepaid session blocks — 5, 10, 20 sessions — and your clients book by text and pay by Venmo, Zelle, or cash, FlowPrism is built for exactly that. It's discipline-agnostic: personal trainers, strength and running coaches, swim and tennis coaches, and private instructors all use it the same way, because the job is the same — knowing what each client has left. Can I track class packs and session credits without booking software?

Yes, and for most solo instructors that's the right call. Booking software exists to let clients schedule themselves — if your clients already text you, you're paying for a booking flow you don't use and still doing the package math by hand. FlowPrism does only the tracking half: class packs, session credits, balances, and exports, read from your existing calendar. Your clients never see it and nothing changes for them.

Is my income data private?

Yes. Your sessions and earnings are visible only to you. We never sell your data or use it for ads, and we work only with the service providers needed to run FlowPrism (details in our Privacy Policy). You can export everything anytime, or delete your account and its data in one click. And come tax season, you can export a clean session log your accountant will actually thank you for.

Do I have to change how I schedule my classes?

No. FlowPrism's core idea is zero behavior change: keep writing sessions in your calendar exactly as you do today. FlowPrism reads that calendar and does the bookkeeping — package countdowns, credit balances, session logs, and reports.

Is FlowPrism a Mindbody alternative?

It's a different tool for a different job. Mindbody is studio-scale booking software — client-facing scheduling, payments, marketing. FlowPrism is a tracking layer on the calendar you already keep: no client-facing booking, no migration, nothing changes for your clients. If you're an independent instructor who needs packages, sessions, and credits tracked, that's FlowPrism's job. If you need clients to book themselves online, you want booking software.

How is FlowPrism different from a spreadsheet?

A spreadsheet works — until you forget to update it after a session. FlowPrism reads your calendar, so records stay current without re-entering anything: package balances count down by themselves, you get an alert when a student is running low, and your full session history is one Excel export away at tax time.

Can't I just use ChatGPT or an AI agent to track this?

You can try — and ChatGPT has gotten better at this. It can even read your Google Calendar now (on paid plans, via a connector). But it reads your calendar; it doesn't keep books on it. There's no running record underneath: each chat re-derives your balances from memory, and that memory demonstrably drifts — it will tell you Sarah has 3 sessions left when it's 2, with full confidence and no warning. It also won't watch your calendar and alert you when someone's package is running low; you have to remember to ask. And while it can generate an Excel file on request, it's rebuilding that file from conversation history each time, not from records — so the tax-season export you get in March may not match what actually happened in January. If you teach 2–3 students, honestly, ChatGPT or a notes app is fine. Past that, you want a system of record: FlowPrism reads the same calendar, but every session becomes a confirmed entry in a real record — deterministic balances, low-balance alerts, and an export that's built from records, not recollection. Could an AI agent just build me a tracker?

If you're technical, yes — tools like Codex or Claude Code can build you a custom tracking app in an afternoon. Then you own it: hosting, backups, the bug that miscounts a reschedule, the export format your accountant wants. That's running software, not just teaching. FlowPrism exists so instructors don't have to become their own IT department — the reschedule logic, the parsing edge cases, and the tax export are already built and maintained.

Do I need booking software or just tracking?
